ATLANTA ATHLETIC CLUB GOLF ASSOCIATION 18 Hole POLICY AND PROCEDURE MANUAL SUNDAY EVENTS CHAIRMAN The Sunday Events Chairman shall be responsible for planning and coordinating all aspects of each event. I. GENERAL DUTIES A. Plan and organize Sunday Events. B. Prepare year-end report in triplicate prior to Closing Brunch. II. TIME TABLE A. In January, obtain the Association calendar from the First Vice President and create a schedule of Sunday Events. The schedule should include date of event, game to be played and sign-up date. Submit the schedule to the First and Second Vice Presidents by mid – January. B. At the beginning of the season, consult with Pro Shop liaison and/or starter to ensure tee times have been reserved for the Sunday Events. Any tee times not used will be released at 5:00pm on the Thursday before the event. C. Work with the Pro Shop liaison to set up the sign-up links through the current pro shop application. D. Work with the Communications Chairman to send out the e-mail, on the 4 th Thursday prior to the event, that will have all the details and the sign-up link for the monthly game. E. By the end of February , meet with the Nine Hole Association chairmen and the Banquet Office to plan the menu for each event. F. Following each event , be sure the winners are posted on the bulletin board in the ladies’ locker room and the Publicity Chairman also has a list of the winners list and any pictures, and she will also email the AAC Communications Director for posting the results and pictures in the Club Times and/or on the website. G. The Sunday Events Chairman will work with the Communications Chairman to send e-mails and notify members of upcoming events, changes to events, and to publish a list of winners. H. Help make up pairings when needed and notify participants if tee times change. Note: Remind members they may make their own tee times for Sunday mornings if event tee times are full. They must notify the Sunday Events Chairman and the Pro Shop to be included in the event. I. Keep a record of participants for each event. J. At the end of the season , prepare a year-end report. 1. The report should contain the following: a. Steps taken to organize events b. Theme of events c. Rules for participation and selection process for format d. Registration fee if applicable e. Number of attendees f. Winners of event

g. Names of contact persons and Pro Shop liaisons who assisted h. Any other pertinent information that would help the next chairman.

2. No later than the Closing Brunch, submit copy of year-end report to the President and Secretary, and include a copy in the Sunday Events notebook. Also submit all outstanding bills to the Treasurer for reimbursement or payment.
