3. Continue to have the Communications Chairman send e-mail reminders. 4. Ask someone to give an invocation. 5. Act as Hostess the night of party. 6. Document details of the event with a report, pictures, and any additional information for the House Chairman’s notebook. 7. Submit expenses for the event, as soon as possible, utilizing the expense report and submit to the Treasurer for reimbursement. END OF YEAR A. Within two weeks after Christmas Party, complete year-end report and give a copy to the President, the Secretary and include a copy in the House Chairman’s notebook. The notebook and all related records should be given to your successor at the Transitional Board Meeting. Your report should include: a. Steps taken to organize events b. Theme of events c. Copy of proposed budget compared to actual expenditures d. Number of attendees e. Names of contact persons and/or liaison person, if applicable f. Any other pertinent information that would help the next chairperson B. Submit all outstanding bills to the Treasurer for reimbursement or payment. C. If you have any recommended P&P updates, please document and present to the Board during the first Board meeting of the new year.
